Couchwork is a business hub for small teams: team chat, a shared contacts book, a sales pipeline and a full email client, with an AI assistant that works with your own data. Run it yourself for free, or let us host it for you.
macOS · Windows · Linux | Free and open source (MIT)
@AI which leads need actioning today?
Two leads need attention:
Northwind — EU warehouse · £18,000 · Overdue
Brightside Dental · £4,200 · No owner
I’ll take Brightside.
Everything in one place
Talk to your team, keep track of the people you deal with, move deals through your pipeline and answer email, without juggling four separate tools.
Channels, threads, direct and group messages, forwarding, file sharing and search. Paste in images and memes, and preview files without leaving the app.
One contacts book for the whole team, plus private contacts only you can see. Group people by company, then search, tag and import from CSV.
A drag-and-drop board with stages you define, and separate boards for sales, support or projects. Assign leads, set values and due dates, and see what’s overdue at a glance.
Drop a lead into a stage and it can send an email, post an alert to a channel, add a note or call a webhook.
Connect any IMAP/SMTP mailbox: threaded conversations, folders with drag and drop, search, attachments and an unread badge.
Everyone can use their own mailbox, and the team can share one, such as sales@ or support@, with access you control.
Ask about contacts, leads and email in plain English, and have it draft emails, propose leads for you to confirm, and keep your reminders.
Sign in with Google or Microsoft, two-factor authentication, invites that expire, sign-in lockouts, instant deactivation for leavers and an activity log for admins.
A clean interface in light or dark, and a desktop app that updates itself from your own server.
A Today panel beside the AI chat lists your tasks, leads that need a nudge and unread email. Ask for a reminder and it alerts you when it’s due.
No reply to your quote? Couchwork writes a follow-up for you to send, or sends it for you. Chasing leads, handled, so you can put your feet up.
Ask “how are sales looking?” or “who are our top sales people?” and the AI draws a bar or pie chart you can download as an image or spreadsheet. Managers and admins see the whole team.
Paste one line of code on your site and enquiries arrive as leads, with a contact, protected by Cloudflare Turnstile.
Group people by the business they work for. One page shows everyone at a company and every lead linked to them, and duplicates like “Acme Ltd” and “ACME” join up on their own.
Open your server in any browser, install the desktop app, or use the mobile app for chat, the AI and your Today list, with push notifications for messages and reminders.
Upload a PDF, Word or text file, type /document in the AI chat and ask questions about it.
Sales leads
Leads are shared across the workspace. Drag them between stages, assign yourself, and let the board do the follow-up admin.
Run Sales, Support or anything else as separate boards. Name, colour and reorder each one's stages, and mark which count as won or lost.
Send an email to the contact or the owner, alert a channel, add a note or call a webhook, automatically, the moment a lead enters a stage.
Lead emails go from the owner’s own mailbox, fall back to the shared one, and clearly say so if neither is set up.
Hi Sam,
Just checking you got the quote I sent over on Monday. Happy to talk through the options or tweak anything, so just say the word.
Thanks,
Tom
Follow-ups
You sent the quote. They went quiet. Somebody ought to nudge them, and for once, it doesn’t have to be you. Couchwork notices, writes the follow-up, and leaves it ready on the lead. You get to take the credit.
A proper threaded email client that sits beside your contacts and leads, so context is never more than a click away.
Northwind Ltd <buying@northwind.example>
Thanks for sending this over. Could we find 20 minutes on Thursday to go through the delivery times?
Your day, in one place
There’s no separate to-do app to open. Tell the AI what you need to remember, and everything that needs your attention appears beside the chat.
Website enquiries
Paste a snippet into any page and visitors can send you an enquiry. It lands in your pipeline as a lead, with a shared contact, ready to action.
Built-in AI
Ask it in plain English. It looks things up in your contacts, leads and email as you, and can search the web through Tavily when a question needs current information.
/document, and ask questions about it. Documents are private unless you share them.Private by design. AI access to contacts, leads and email is off until an admin switches it on. It only sees what the person asking can already open, personal contacts and email are used only in a private chat, and you decide where the model runs.
Your data, your hardware
One lightweight server and one database. Free to run on your own machine, with no vendor holding your history.
Run Postgres and the server with Docker, open the app, and create your workspace. Invite teammates from the settings.
A production stack with HTTPS and daily backups of the database and uploaded files, with an encrypted off-site copy if you want one. Managed from Settings.
Keep it on your LAN or your Tailscale network. Only the mail, AI and search services you choose to enable leave the building.
Security & safekeeping
Use the accounts your team already has, add a second step where it matters, and know there’s a recent, encrypted copy of your data somewhere safe.
Let people sign in with their Google or Microsoft account, or any OpenID Connect provider such as Okta or Keycloak. You create the sign-in app yourself in a few minutes and paste its details into Settings, so nobody else ever holds your credentials. People still need an account or an invite.
A 6-digit code from Google Authenticator, Microsoft Authenticator, 1Password or Authy, with one-time backup codes. Make it required for everyone with one switch, and reset it for anyone who loses their phone.
Switch off password sign-in for everyone except admins, who keep a way back in. People who sign in this way use their provider’s own security, including its two-factor step.
Every night the database and uploaded files are backed up automatically, at the time and for as long as you choose. If the server was off, it catches up when it starts. Press “Back up now” any time, or download an encrypted copy yourself.
Each backup can also be sent off your machine to cloud storage (S3, Backblaze B2, Wasabi), another server over SFTP, Nextcloud or WebDAV, or a USB drive or NAS. It’s encrypted with a passphrase only you hold before it leaves.
The encrypted backup includes your secret keys, so one file brings back everything onto a new machine, including saved mailbox passwords and two-factor settings. If a backup ever fails, admins are told in chat and on their phone.
Always current
Installed apps check for new versions on launch and every few hours. Updates come from your own server, with no third-party service in the middle.
Couchwork isn’t available to download just yet. Leave your details below and we’ll let you know as soon as it’s ready.

Questions
No. Couchwork is an independent, open-source app for small teams: chat, contacts, leads and email with an AI assistant, all on your own machine. It isn’t affiliated with, or endorsed by, Slack.
Any mailbox that supports IMAP and SMTP, including Gmail, Microsoft 365, most web hosts and your own mail server. Gmail and Microsoft mailboxes need an app password rather than your normal one when you connect them. People can still sign in to Couchwork itself with Google or Microsoft.
Chat, contacts and leads are in Postgres on the machine that runs your Couchwork server, with files on its disk, and the built-in nightly backups cover them, with an encrypted off-site copy if you set one up. Email stays with your mail provider; the server keeps a rebuildable local copy so the app is fast.
Only if an admin switches it on, and only for the person asking. Personal contacts and email are used only in a private chat with the AI, never in a channel. The email helpers (drafting, spam check, priority flag) are separate switches, and each mailbox owner opts their own mailbox in. You can use a local model so none of it leaves your network.
Not unless you say so. By default it prepares email drafts for you to review and send yourself, shows a card for you to confirm before a lead is created, and its spam and priority marks are suggestions only. Nothing is moved or deleted automatically. The exceptions are your own tasks and reminders, which it adds or ticks off straight away when you ask, and lead follow-ups: those are left as drafts for you to send, unless an admin switches on send automatically for a sales pipeline.
Yes. Upload a PDF, Word (.docx) or text file, type /document in your chat with the AI and pick it. The AI then answers questions from it and says where the answer came from. Documents are private to you unless you choose to share them, are only used in your private chat with the AI, and scanned PDFs (images of text) can’t be read yet.
Yes. On a sales pipeline, an admin turns on follow-ups. If you email a lead and they haven’t replied after a few days (3 by default), Couchwork writes a follow-up in the same conversation, then a second one a week later, and no more than that. It stops as soon as they reply, the lead is won or lost, or you pause it. Follow-ups are drafts for you to review and send unless you choose to send them automatically, and they only go out in working hours on weekdays. The AI writes them, or you can use your own templates.
Yes. In your private chat with the AI, ask things like “how’s our sales looking?”, “who are our top sales people this quarter?” or “how many deals closed this month compared to last month?”. It answers in a sentence and draws a bar or pie chart, with buttons to download it as an image (for a slide) or the data as a CSV. The figures are calculated exactly from your leads, not guessed by the AI: a sale is a lead in a Won stage, credited to whoever it’s assigned to. Admins and managers see the whole team; everyone else sees only their own deals.
Yes. An admin switches on the website form, copies one line of code onto the site, and enquiries arrive as leads in the stage you choose. Your server needs to be reachable from the internet for this, for example through a domain or tunnel. Cloudflare Turnstile is optional and uses your own free keys.
With Anthropic or OpenAI it does, plus your own API key. With a local model through Ollama it doesn’t. Optional web search uses Tavily and needs internet too. Chat, contacts, leads and email work on your local network without any of them.
It’s designed for small businesses and teams: one server and one database, with no per-user licence fees.
Yes. An admin registers a sign-in app with Google or Microsoft (or any OpenID Connect provider) and pastes its details into Settings; step-by-step instructions are shown there. People then use a “Continue with Google” or “Continue with Microsoft” button. Signing in doesn’t create accounts by itself: people need an existing account or an invite code. An admin can also require single sign-on for everyone except admins. It works in the browser, desktop and mobile apps. Your server needs an https address for it.
Yes. People turn it on in their profile with any authenticator app and get one-time backup codes. Admins can require it for everyone, and reset it for someone who has lost their phone.
The server backs up the database and uploaded files every night (you choose when, and how long to keep them) and tells admins if one fails. You can add an encrypted copy that’s sent to cloud storage, another server, Nextcloud or a USB drive or NAS, and download an encrypted backup whenever you like. Restoring is one command and works onto a brand-new machine. We recommend trying a restore once on a spare machine so you know it works.
Yes. Open your server’s address in any modern browser and sign in; there’s nothing to install.
Yes, for iPhone and Android (you build it from the open-source project). It has chat, your private chat with the AI, and a Today screen with tasks and reminders, plus push notifications for messages and when a reminder is due. Contacts, leads and email are on the desktop and browser versions for now.
